Terms of Service – Certified Translation Orders

Please read these Terms of Service carefully before submitting your order. By placing an order through the BLS Online Translation Order Tool, you agree to the following terms:

1. Service Scope

  • Our certified translation service includes a translation by a qualified translator and a signed certificate of accuracy.
  • Optional additional services include:
    • Notarised Translation
    • Apostille/Legalisation
    • Tracked Delivery
    • Additional Printed Copies

2. Pricing and Payment

  • All prices are based on the number of pages submitted. A minimum charge applies for documents of one page or less, with per-page rates applied thereafter.
  • The number of pages is determined by the total number of source document pages, not word count.
  • Full payment is required at the time of order. Your order will not be processed until payment is received.

3. File Submission

  • You are responsible for ensuring that the files you upload are correct, legible and complete. We are not liable for errors resulting from unclear or incomplete documents.

4. Delivery Timeframes

  • The delivery date is based on your selected date during checkout. We aim to meet all agreed deadlines; however, delivery dates are estimates and not guaranteed until confirmed by our team.
  • Larger documents (more than 2 pages) may not be feasible for delivery within short timeframes (e.g. 1–2 working days). Certified translations require careful review, and turnaround time depends on length, complexity and language pair.
  • If you require a fast turnaround for a lengthy or complex document, please contact us before placing your order to confirm availability.
  • Urgent turnaround options may be available on request, subject to availability and a surcharge.

5. Order Changes and Cancellations

  • Changes to your order may not be possible once the translation process has started. Please contact us immediately if you need to make amendments.
  • Cancellations made before translation work has commenced may be eligible for a partial refund. No refunds are available once work has begun.

6. Notarisation and Legalisation

  • Notarisation and apostille/legalisation services are charged per document, not per order.
  • If your order includes more than one document requiring certification, notarisation or legalisation, please contact us before placing your order so that we can provide a full quotation.
  • Failure to request a quote for multiple documents may result in delays or additional charges.

7. Certified Translation Validity

  • Our certified translations are accepted by most UK authorities. It is your responsibility to confirm the requirements of the institution to which you are submitting the translation.
  • If you are unsure whether notarisation or legalisation is required, we recommend contacting the requesting organisation before ordering.

8. Use of Personal Data

  • Your personal data and uploaded documents will be handled in accordance with our Privacy Policy. Documents are treated with strict confidentiality and stored securely.

9. Limitation of Liability

  • While we strive for accuracy and professionalism, we do not accept liability for any losses incurred as a result of the use of our translations, particularly where the translation is rejected due to lack of specific legalisation or third-party requirements not communicated to us in advance.

10. Governing Law

  • These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

11. Right to Refuse Orders

  • We reserve the right to decline any order at our discretion, including but not limited to:
    • Illegible or incomplete documents
    • Inappropriate, offensive, or unlawful content
    • Subject matter outside our area of expertise
    • Unreasonable turnaround demands

12. Translations for Use Outside the UK

  • Our certified translations are prepared in accordance with UK standards. If you intend to use a translation outside the UK, it is your responsibility to check whether UK-certified translations are acceptable for your intended purpose.
  • We accept no liability for the rejection of a translation by foreign authorities or institutions.

13. Document Retention and Deletion

  • We retain digital copies of your uploaded documents and completed translations for a period of 6 years from the date of order, for record-keeping, re-issue requests and quality assurance purposes.
  • Any hard copy versions (e.g. certified translations, notarised documents) are retained for a maximum of 12 months before being securely destroyed, unless otherwise agreed.
  • If you would prefer your digital or hard copy documents to be deleted or disposed of earlier, you may request this in writing.
  • All files are stored and handled securely in accordance with data protection regulations.
